The Relais & Chateaux Post Hotel & Spa in Lake Louise, Alberta is hiring for a Spa Experience Coordinator!

Position: Spa Experience Coordinator

Department: Spa

Report to: General Manager (with oversight from Director of Procurement)

Hours: As required

Position Overview:

The Spa Experience Coordinator at The Post is responsible for the operational excellence and guest satisfaction of our luxury spa facility. This role focuses on coordinating daily operations, scheduling, and maintaining exceptional service standards while working collaboratively with our therapeutic team and Lead Therapist.

Duties and Responsibilities:

Daily Operations & Guest Services

Coordinate daily spa operations, ensuring smooth scheduling and optimal guest flow throughout the facility
Coordinate bookings within the Jane App (appointment booking system) to maintain an organized non biased schedule SOP for all staff
Oversee guest checkin, checkout, and payment processes while ensuring exceptional service standards
Facilitate all communication between guests and treatment providers to ensure guest preferences and needs are met
Process retail transactions and maintain accurate records of sales
Track and report on spa performance metrics, including booking rates and guest satisfaction
Housekeeping & Facility Management

Liaison with Executive Housekeeper and have oversight of linens not limited to inventory needs (PARs), processing times of dirty laundry
Collaborate with the Housekeeping team in maintaining cleanliness of the Spa
Ensure compliance with health and safety protocols, while maintaining a clean, organized, and welcoming spa environment
Ensure spa equipment maintenance and report any maintenance needs
Guest Relations & Problem Resolution

Work with GM to resolve all guest inquiries, feedback, and concerns with professionalism and attention to detail
Procurement & Inventory Management

Work closely with the Director of Procurement to coordinate all spa supply and retail item ordering, ensuring proper approval processes are followed
Partner with the Director of Procurement on vendor relationships and communications, with all vendor contacts coordinated through the Director of Procurement’s oversight
Follow established inventory control protocols under the guidance and supervision of the Director of Procurement
Collaborate with Director of Procurement to maintain inventory of all spa products, supplies, and retail items through established inventory control systems
Coordinate with Director of Procurement to obtain approval for any new items used or sold within the Spa
Marketing & Technology Coordination

Collaborate with Marketing team on implementation of initiatives including promotions, packages and special offers
Oversee and maintain back end administration of Jane app, ensuring all treatments are available to be booked online
Communicate with Marketing any updates needed for signage and websites to reflect accuracy in offerings
Team Collaboration

Collaborate with the Lead Therapist to operate in partnership and ensure seamless spa operations
Work collaboratively with therapeutic team to maintain exceptional service standards
Qualifications

Minimum 1 year of experience in spa coordination or related hospitality role
Strong organizational and administrative skills with attention to detail
Excellent guest service and communication abilities
Proficiency in spa scheduling software and POS systems
Strong knowledge of spa operations and wellness industry trends
Experience in inventory management and retail operations
Ability to maintain a calm, professional demeanor in a fast paced environment
Knowledge of Relais & Châteaux standards is an asset
Post secondary education in hospitality or related field is an asset
Understanding of procurement processes and ability to work within established vendor relationship protocols
