Full job description
Emerald Lake Lodge in Yoho National Park (30 minutes west of Lake Louise) is looking for a Meeting and Events Admin Coodinator.

Primary Function: Serve as a key liaison between our property and tour groups, ensuring seamless coordination of all tour logistics while maintaining excellent communication with both internal teams and external clients. This role is responsible for preparing comprehensive documentation, managing daily tour operations, and supporting the overall success of tour group stays and special events. While not limited to, the primary focus of this role (80%) is administrative.

Duties and Responsibilities:

Assist in creating detailed Banquet Event Orders and other event related documents
Prepare and organize essential tour documentation including rooming lists, package details, key packets, vouchers, and room drop schedules
Manage daily tour activities including routing, payment processing, mobility accommodations, and special requests
Process last-minute change requests and ensure proper communication to all relevant parties
Maintain records for all clients and functions
Prepare post-event billing drafts with attention to detail
Attend and contribute to weekly team meetings to review upcoming events, share feedback, and relay updates
Conduct property inspections as needed for tour preparation
As required by business volumes, assist with setup and teardown of weddings and conferences when required
Provide administrative support to the Meeting & Events Coordinator during peak periods
Help build strong client and guest relationships through attentive follow-up on all feedback
Perform other assigned duties as required to support the events team
Requirements/Experience:

· Previous experience in hospitality, events, or tourism preferred

· Exceptional customer service skills with a friendly, professional demeanor

· Strong organizational abilities and acute attention to detail

· Excellent written and verbal communication skills

· Proficiency with Microsoft Office and hotel management systems

· Team-oriented mindset with ability to work independently

· Flexible schedule to work evenings when needed
