Rental Operations Coordinator

Reports To: Rental & Retail Supervisor, Assistant Supervisor, and Director of Snow Sports

Position Overview

The Rentals Operations Coordinator oversees the daily operations of the Rentals Department, ensuring exceptional guest service, operational efficiency, inventory readiness, staff development, and compliance with safety and industry standards. This leadership role coordinates rental operations, reservations, inventory and fleet management, equipment servicing, staff training, and reporting to deliver a seamless guest experience from booking through equipment return.

Working closely with supervisors and other resort departments, the coordinator supports group bookings, operational planning, equipment safety, workflow management, and cross-functional initiatives to ensure the effective operation of the rental department.

This is a full-time seasonal role running from November through May. During peak periods, including holidays, school groups, and February/March operations, evening shifts may be required to support operational demands.

Job Duties & Responsibilities:

Rental Operations & Guest Experience

Oversee daily rental operations to ensure efficient workflows, operational readiness, and exceptional guest service.
Support staff in equipment fitting, setup, rentals, returns, and damage assessments for skis, snowboards, boots, helmets, and related equipment.
Resolve guest concerns and equipment-related issues professionally and effectively.
Monitor operational flow and implement improvements to enhance service delivery and reduce wait times.
Maintain comprehensive knowledge of rental equipment, resort operations, and guest services.

Sales, Reservations & Group Coordination

Manage rental reservations, bookings, and sales systems, ensuring accuracy of guest information, waivers, and transactions.
Coordinate equipment allocation and preparation for individual, group, and Snow School bookings.
Liaise with internal departments to support operational requirements and guest demand.
Staff Leadership & Development

Provide daily leadership, coaching, training, and support to rental staff.
Coordinate staffing assignments, workflows, and schedules to ensure efficient operations.
Support employee onboarding, performance management, and development initiatives.
Foster a positive, inclusive, and team-oriented workplace culture.

Inventory Management & Fleet Readiness

Maintain inventory records, equipment tracking systems, and fleet readiness.
Monitor equipment condition, availability, storage, and lifecycle management.
Coordinate inventory replenishment and support seasonal fleet preparation and reconciliation.
Manage lost-and-found processes and equipment recovery efforts.
Safety, Equipment Compliance & Risk Management

Maintain accurate records and documentation for equipment servicing, inspections, testing, calibrations, maintenance activities, and accident or incident investigations.
Assist with operational audits, safety reviews, and corrective action plans.
Promote a culture of safety and ensure compliance with company policies, industry standards, manufacturer requirements, and occupational health and safety regulations.
Monitor, inspect, and document equipment condition, servicing, maintenance, and safety requirements, including binding calibration programs.
Identify and communicate operational risks and safety concerns to leadership.
Systems, Reporting & Administration

Maintain proficiency in RTP and other rental management systems.
Utilize rental management systems to support reservations, transactions, inventory tracking, and reporting.
Train staff on systems, procedures, and operational best practices.
Maintain accurate operational records and follow up on outstanding rentals, overdue equipment, and unresolved transactions.
Identify opportunities to improve processes and operational efficiency.

Department Leadership & Cross-Functional Support
Collaborate with Coordinators, Supervisors, and Managers to support the overall success of the Rentals and Retail Department.
Assist in overseeing operations across Rentals, Retail, Town Store, and Tech Shop areas during peak periods or when leadership support is needed.
Help coordinate staffing, workflow, and service standards across departments.
Provide guidance, mentorship, and problem-solving support to team members throughout the operation.
Qualifications:

Strong customer service and conflict-resolution skills.
Experience with inventory management, equipment tracking, and operational planning.
Familiarity with POS, reservation, or rental management systems.
Knowledge of ski/snowboard equipment and rental operations preferred.
Experience with binding standards, equipment maintenance, ski industry operations, and/or a Class 5 Alberta Driver’s License considered assets.
Core Competencies:

1–3 years of rental, customer service, or hospitality experience; supervisory experience preferred.
Ability to work flexible hours, including weekends, holidays, evenings, and peak season periods.
Ability to work in a fast-paced, guest-focused environment while managing multiple priorities.
Ability to lift and move equipment, remain active for extended periods, and maintain a safe work environment.
