Job Description

Event Sales & Services Coordinator (Full Time Permanent)

The Event Sales & Services Coordinator, Weddings & Special Events will ensure the smooth & efficient running of the Conference Services Office and all services/duties, through organization and distribution of all pertinent information, handling guest inquiries and maintaining open lines of communication between departments

What you will be doing:

Reporting to the Director of Event Sales & Services, responsibilities and essential job functions include but are not limited to the following:

Consistently offer professional, engaging and friendly service
Follow departmental policies, procedures and service standards
Responsible for administration of the department including posting of the Daily Change Log and Daily reports
Updating of the BEO Binder – daily (with change log & Event Orders) and weekly review for accuracy
Review, coordinate and manage Elopements as assigned working closely with the Catering Sales Manager, Weddings
Responsible for the successful outcome of elopements from pre-arrival through to post-departure
Manage the wedding in box and assist with all wedding inquiries and in the sales process where needed, passing information to managers as required
Assist with Wedding contracts
Assist with Special events when needed
Admin duties including block and distribute, Site forms, FAMs, Tastings and Internal Events as required
attending weekly and/or daily internal meetings and minutes at Monthly Conference services Meetings
Assist Director and managers with changes to Event orders, change logs, revisions to floor plans
Maintain the integrity of Sales & Catering at all times
Adhere to the hotel’s vehicle handling and safety policies while driving hotel and guest vehicles
Follow all safety and sanitation policies
Other duties as assigned

Qualifications

Your experience and skills include:

Highly motivated and guest driven with a proven ability to solve problems and make timely guest service decisions.
Proactive with a demonstrated eye for detail and the ability to manage multiple functions and projects while meeting deadlines.
Post-Secondary education in a Hospitality/Tourism related field is an asset
Minimum two years’ experience in Food & Beverage/Hotel Catering/Sales, additional experience in the hospitality industry required
Strong working knowledge Windows, Microsoft Word, Excel, Outlook and Power Point programs required
Working knowledge of Micros Opera Sales & Catering, Property Manager system,
Knowledge of current hospitality industry trends
Excellent communication and organizational skills
Strong interpersonal and problem solving abilities
Highly responsible & reliable
Ability to work well under pressure in a fast-paced environment
Ability to work cohesively with fellow colleagues as part of a team
Ability to focus attention on guest needs, remaining calm and courteous at all times

Visa Requirements: Must be legally eligible to work in Canada. The hotel is unable to assist candidates in obtaining Canadian work authorization.
